The two sentences to add to your next purchase order.

You lose all leverage the second the wire clears. We give it back. This costs you nothing, requires no capital, and turns an independent inspector into a control point in your own payment chain — read it below, or download it as a PDF to send to your team.

1. For a purchase order or supply contract

Add this to the payment terms section of your purchase order or supply contract with the manufacturer.

"Payment of the balance due under this Purchase Order (or any remaining installment) is conditional upon Buyer’s receipt of a written Inspection Certificate issued by Changzhou XinHua Ruijin Trading Co., Ltd. (“CXRT Co.”), confirming that the goods described herein have been inspected on-site prior to shipment and found to conform, in quantity and quality, to the specifications set out in this Purchase Order. Seller agrees to grant CXRT Co. reasonable access to inspect the goods prior to shipment."

2. For a Letter of Credit

If your bank is issuing an LC, ask for this as a required document alongside the standard shipping and commercial documents.

"This Letter of Credit requires, as a condition of payment, presentation of an Inspection Certificate issued by Changzhou XinHua Ruijin Trading Co., Ltd. (“CXRT Co.”), confirming that the goods have been inspected and found to conform to the purchase contract specifications, in addition to the standard shipping and commercial documents."

What this actually does

It moves the decision point. Instead of releasing your balance payment on the manufacturer's word — or a photo sent over WeChat — release happens only after an independent person has physically checked the goods against your specification and put their name to what they saw. You keep the leverage you would otherwise lose the moment the wire clears.

A note on Letters of Credit

Many smaller Chinese factories resist LCs — they add cost and paperwork on the seller's side, and plenty of manufacturers in this size bracket simply won't work with one. The purchase-order clause above is the practical default for most orders; use the LC variant only when your bank and the manufacturer are already set up for one.
